Cancellation & refund policy

2 November 2026

Introduction

At Human Advantage, we are committed to creating exceptional retreat experiences through Jiu-Jitsu, movement, exploration and shared experiences. We understand that plans can change. Our cancellation and refund policy is designed to be clear and fair to our guests while protecting the arrangements and commitments required to organise each retreat. By making a booking and paying a deposit or full retreat fee, you acknowledge that you have read and accepted this policy, subject to your statutory consumer rights.

1. Booking & payment terms

• A deposit is required to secure your place on a Human Advantage retreat. The deposit amount will be confirmed at the time of booking. • For our Cappadocia 2027 retreat, the deposit is £250 per person. • The deposit is intended to cover initial booking commitments, administration and reservation costs. It is normally non-refundable in the event of a guest cancellation, to the extent that retaining it is reasonable and permitted by applicable law. • The remaining balance may be paid in instalments, subject to the payment schedule agreed at booking. • Full payment must be received by the deadline specified in your booking confirmation. • Failure to complete payment by the agreed deadline may result in cancellation of your booking following reasonable notice. Any refund or cancellation charge will be calculated in accordance with this policy.

2. Guest cancellations

If you need to cancel your retreat booking, you must notify Human Advantage in writing by email. Cancellation charges are based on the time remaining before the retreat and the costs and losses reasonably associated with your cancellation. Our standard cancellation schedule is: • More than 90 days before the retreat: deposit only, subject to reasonable losses • 60–90 days before the retreat: up to 50% of the total retreat price • Less than 60 days before the retreat: up to 100% of the total retreat price These charges are maximum amounts rather than automatic penalties. Any amount retained will reflect reasonable losses, including non-recoverable supplier commitments, administration costs and lost booking revenue, taking into account costs saved and any replacement booking. If a lower cancellation charge is appropriate, the balance will be refunded. Any statutory right to cancel without a termination fee and receive a refund takes precedence over this schedule.

3. Booking transfers

We understand that unexpected circumstances may prevent guests from attending. Where permitted by applicable law and subject to the replacement guest meeting all participation requirements, guests may transfer their booking to another person. • Transfer requests must be submitted in writing. • We ask for at least 14 days’ notice wherever possible. Shorter notice will be accepted where required by applicable law. • Transfers are subject to any reasonable, evidenced additional costs incurred by Human Advantage or our suppliers. • The replacement participant must accept the retreat terms and conditions. Human Advantage will make reasonable efforts to assist with booking transfers.

4. Early departure & unused services

If a guest voluntarily leaves a retreat before its scheduled completion, or chooses not to participate in an included activity, no refund will normally be provided for the unused portion. This includes voluntary non-participation in: • Jiu-Jitsu or movement sessions • Group activities and excursions • Recovery or wellness sessions • Included meals • Other scheduled retreat experiences Human Advantage is not obliged to provide alternative activities where a guest voluntarily chooses not to participate. Room downgrades requested by guests after booking do not automatically entitle them to a refund. These provisions do not affect any entitlement to a refund, price reduction or other remedy where Human Advantage fails to provide contracted services.

5. Cancellations by Human Advantage

Although we make every effort to deliver retreats as planned, circumstances may occasionally require us to cancel or postpone an event. If Human Advantage cancels a retreat before departure, guests will be offered: • A full refund of retreat payments received; or • The option to transfer their booking to another available Human Advantage retreat; or • The option to retain their payment as credit towards a future retreat. Guests are not required to accept a transfer or credit instead of a refund where they are legally entitled to one. Refunds required under applicable package travel law will be processed without undue delay and within the legally required timeframe, including within 14 days where that requirement applies. Human Advantage is not responsible for independently booked flights or other travel expenses except where liability arises under applicable law.

6. Changes to retreat programmes

Human Advantage reserves the right to make reasonable adjustments to retreat schedules and activities where necessary for operational, safety or other legitimate reasons. Such changes may include: • Adjustments to daily training schedules • Changes to activity timings • Replacement of an instructor due to illness, injury or unforeseen circumstances • Changes to excursions due to weather or safety concerns • Substitution of an activity or facility with a reasonably comparable alternative We will make reasonable efforts to maintain the overall quality and experience advertised. Where a change significantly affects an essential element of the booked retreat, guests will be informed as soon as reasonably possible and offered the choices and remedies required by applicable law, including cancellation without a termination fee where applicable.

7. Instructor illness or emergency

Our retreats feature experienced coaches, instructors and facilitators. In the event that an instructor is unable to participate due to illness, injury, travel disruption or personal emergency, Human Advantage will make reasonable efforts to arrange a suitable replacement or adjust the programme. Where the change materially affects the retreat experience purchased, any applicable refund, cancellation or price-reduction rights will be respected.

8. Travel documents & insurance

All guests are responsible for ensuring that they have: • A valid passport • Any necessary visas or entry permissions • Appropriate travel documents • Compliance with applicable destination entry requirements • Suitable travel and medical insurance Flights are not included in Human Advantage retreat prices unless expressly stated otherwise. We strongly recommend comprehensive travel insurance covering: • Trip cancellation and interruption • Medical emergencies and hospital treatment • Participation in sporting activities, including Jiu-Jitsu • Injury and medical evacuation • Travel disruption and lost baggage Guests should ensure their insurance policy specifically covers the activities included in their retreat. Human Advantage is not responsible for losses arising from a guest’s failure to obtain appropriate travel documents or insurance, except where required by law.

9. Circumstances beyond our control

Events beyond our reasonable control may affect the operation of a retreat. These may include severe weather, natural disasters, government restrictions, serious public health emergencies, civil unrest, transportation disruption or other unavoidable and extraordinary circumstances. Where such events require a retreat to be changed or cancelled, Human Advantage will communicate with affected guests as soon as reasonably possible. Refunds, alternative arrangements and any other remedies will be provided in accordance with applicable law. Where unavoidable and extraordinary circumstances at or near the destination significantly affect the retreat or travel to it, guests will have any cancellation and refund rights provided by applicable package travel legislation.

10. Guest conduct & safety

Human Advantage is committed to maintaining a safe, respectful and welcoming environment. We reserve the right to suspend or terminate a guest’s participation where there are reasonable grounds involving: • Violent, threatening or abusive behaviour • Harassment or discrimination • Serious disregard for safety instructions • Conduct placing other guests, instructors or staff at risk • Intentional damage to property • Serious or repeated breaches of retreat rules Where appropriate, guests will be given an opportunity to address the behaviour before removal. In cases involving immediate safety concerns or serious misconduct, participation may be terminated without prior warning. Any refund or additional charge will be determined fairly, taking account of the circumstances and applicable law.

11. Refund processing

Where a refund is due, Human Advantage will confirm the amount and arrange payment to the original payment method wherever reasonably possible. Refunds will be processed within the timeframe required by applicable law. Guests requesting a refund should contact Human Advantage in writing, providing their booking details and reason for cancellation. Nothing in this policy limits a guest’s legal rights to raise a payment dispute or seek an available consumer remedy.

12. Acceptance of terms

By confirming a booking with Human Advantage, guests acknowledge that they have been given access to this cancellation and refund policy and agree to its terms, subject to applicable consumer protection laws. This policy forms part of the booking agreement alongside the retreat-specific booking information and any additional terms provided before purchase. Nothing in this policy excludes or restricts rights or remedies that cannot lawfully be excluded. Human Advantage — Beyond the mats. Through movement. Together.
